How Our On-Site Corporate Headshot Process Works

We’ve refined our process to make group headshot sessions easy.

Before the shoot

  • Scheduling links for individual employees - On larger shoots, we can send an online scheduling calendar to your colleagues so they can pick a convenient time slot.

  • Guidance on wardrobe and preparation - John can send your colleagues helpful info on what to wear for the upcoming headshot photo shoot. Read: What to wear for your headshot

  • Planning for consistent branding and backgrounds - We often photograph against white or grey backgrounds. We can use a virtual color to match your corporate color. If you have a modern office, we can use the out-of-focus office as the background. We also have a library of modern office backgrounds that we can digitally swap. (see below)

On the shoot day

  • Mobile studio with professional lighting and backdrop - We bring everything we need to your office. A roughly 10’x10’ shooting area would be best, but we are used to working in all sorts of rooms.

    We’ll also need wifi access.

  • Efficient, organized workflow for teams of all sizes - Are we photographing new hires or senior executives? We can adjust the schedule to allow more time with senior leadership.

  • Friendly direction to help people look confident and approachable - We know that our positive, friendly approach will help set the mood for the photo shoot. We are also very comfortable interacting with senior executives as well as the interns.

  • Viewing of your photos on-site - If you wish, each person can view their photos on-site. If they want to adjust their hair or expression, we can easily shoot more photos. This approach all but guarantees everyone will be happy with their photos.

  • We are ready for unscheduled people - We know that when we photograph large groups of headshots, there may be a few unscheduled people who want a headshot. This is no problem, we’ll have a QR code available so those people can register on-site.

After the headshot shoot

  • Private online galleries for each employee - We send a private gallery to each person so they can download their headshot. With just one simple click, your colleague has the headshot. The company representative will receive everyone’s headshot organized by name.

  • Fast turnaround - We deliver photos amazingly fast. Normally, we deliver the next day, but if necessary, we can deliver while we are still at your office.

  • Custom Retouching - Each photo receives just the right amount of retouching. Not too much so people can tell they have been retouched, but just enough to look fantastic.

Digital background swap

You may want a headshot option showing an office environment in the background. Not every office space is suitable to show in the background, so we can add a background from our library of options.

The process is very simple. In the example above, John photographed a person in front of a grey background and digitally swapped in the other backgrounds you see.

It’s a convenient way to increase the variety of photos from a photo session.

Case Study 1

On-site corporate headshots for a Fortune 100 global technology firm.

Objective - On-site corporate headshots of colleagues from around the world attending an executive training conference. Also, candid photos during conference sessions.

Approach - We provided the client with an online scheduling calendar so each person could schedule a convenient time. The headshot sessions were timed so they would not interfere with the conference sessions.

During the sessions, John discreetly photographed the first few minutes of each one throughout the day.

While John was photographing the sessions, Debbie was editing and retouching the corporate headshots.

Results - We delivered headshots to approximately 50 people before the end of the day. Each person received their photos via a private gallery delivered directly to their email.

The next day, we delivered approximately 200 candid photos from the conference sessions.

The client was very happy and asked us to photograph corporate headshots on-site at the conference four times a year.

Case Study 2

Corporate headshots for a small consulting firm in Bergen County, NJ

Objective - A small consulting firm wanted to refresh the corporate headshots of its senior leadership on the company website.

Approach - To maintain the website's look and feel, we opted to use the office as a background instead of a solid backdrop.

I could see from the photos on the site already that the office was sleek and modern, so using it as a background would work well for headshots.

We also photographed the team in meetings and took a group photo of the entire team.

Results - The photos are prominently featured on the website, and they have had us come back for updated photos.

Headshots and portraits of IBM’s CEO

Objective - I am fortunate to work regularly with a variety of teams at IBM. The global communications team needed new portraits and headshots of the CEO for publicity, media, and internal use.

The goal was to capture a wide variety of photos of the CEO in the limited amount of time his schedule allowed.

Approach - Of course, the CEO of a global company has limited time, so we planned out every shot ahead of time. We pre-positioned lights in various areas so we could move quickly.

We finished ahead of schedule, and everyone was happy.

Results - We finished with a very wide variety of portraits. The communications team was very pleased, and I have seen the photos used in media all around the world.

For on-site corporate headshot photography, we bring a complete professional studio setup directly to your office. We plan sessions with you in advance to accommodate schedules. Each participant is photographed efficiently, allowing them to return to work quickly and with minimal disruption.

Most individuals are photographed in roughly five minutes. We can also adjust the schedule to allow more time for senior leadership if necessary.
